How to Message Your Attendees

This guide shows an organizer how to email everyone registered for an event - a parking update, a room change, a "bring a jacket" note - straight from the attendee management screen. No mailing-list plugin needed, and everything here is available on the Free plan.

Where to Find It

Open your event's attendee view - from the My Events dashboard click Manage attendees on the event, or use the Manage Attendees block on the event page. The Email attendees compose panel sits with the attendee table.

Anyone who can manage the event's RSVPs can send a blast: the event's own organizer, and admins.

Sending a Blast

  1. Choose the audience:
    • Going - everyone with a confirmed Going RSVP.
    • Going + waitlist - also includes people currently on the waitlist. The recipient count for each audience is shown next to the selector. Cancelled, Maybe, and No respondents are never emailed - a blast is operational mail for people who are coming, not a re-engagement channel.
  2. Write a subject (up to 200 characters) and your message (up to 5,000 characters). Basic formatting - paragraphs, bold, links - is kept; scripts and embeds are stripped.
  3. Click send. The blast is queued immediately and the emails go out in background batches, so a large attendee list never times out. The panel remembers your last blast (subject, recipient count, and when it was queued) so co-organizers can see what was already sent.

Good to Know

  • Unsubscribes are respected. Registrants who opted out of event notification emails are skipped automatically at send time - see Unsubscribe & Suppression.
  • Throttled to 5 blasts per hour per event - a guard against accidental repeat sends (and against a compromised organizer account spamming your attendees). Developers can adjust it via the evnm_rate_limit_event_blast filter.
  • Guests are included. Guest RSVPs (no WordPress account) receive blasts at the email they registered with.
  • Blasts wear your site's branded email shell, like every other Eventonomy email.
